Quote the package, track every last side pole

Build a marquee or A/V package once and quote it as a single line at a package price. Rentablez still reserves and returns each component on its own, so a missing pole shows up before the van leaves the yard.

  • Kits priced as one line, tracked per component
  • Bulk quantities for chairs, linen and cabling
  • Consumables billed per use

Conflict detection

Catch the double booking on Tuesday, not on the loading bay

Confirmed jobs and open quotes draw from the same stock. When the two together exceed what you own for a given day, the order screen flags the shortage and shows which weddings are competing for the chairs.

  • Confirmed and pending counted separately
  • Shortages shown per day, not per job
  • Sub-hire to cover the gap
  • Kit in for cleaning or repair excluded

Tag your stock the way your clients ask for it

Clients ask for ivory, not white; gold-rim, not standard. Categories, variants and custom fields drive the quote, the web store filters and every utilisation report you run at the end of the season.

What event rental businesses tell us

Six things that go wrong in a busy season

  • Everything goes out on the same Saturday

Weekday stock counts mean nothing when four weddings overlap. Availability is worked out per day across confirmed and pending jobs, so you find the clash on Tuesday rather than on the loading bay.

  • Packages quoted as one line, tracked as none

A marquee package is one line on the quote and forty items in the van. Kits keep both truths at once: the client sees a package, the warehouse sees every pole, weight and side panel.

  • Kit that comes back dirty, late or short

Return inspections are done on the phone with photos, so a torn linen or a missing bracket is logged against that job. Cleaning and damage become charges on the invoice, not an argument next week.

  • Venues with delivery windows and dock rules

Delivery and collection slots sit on the order with the site address and access notes, and the crew gets the route on the app. A delivery challan or gate pass prints for venues that ask for one.

  • Sub-hiring when you are overbooked

Taking the job and hiring the extra chairs in is normal in this trade. Sub-rentals bring supplier stock into the same order as your own, so the pull sheet and the invoice both add up.

  • On-site extras that never reach the invoice

The client adds two more uplighters at 6pm and nobody bills it. Extras go on the order from the app while the crew is still on site, and appear on the final invoice automatically.

Racks of event rental stock, linens and stacked chairs in a warehouse

The warehouse

Marquees, chairs, cabling and crew in one catalogue

Serialised gear such as consoles and moving heads sits next to bulk stock like chairs and linen, and both go into packages. Variants cover size, colour and grade so a client can be quoted ivory rather than white.

  • Serialised, bulk and kit stock together
  • Variants for size, colour and grade
  • Barcode and QR for picking and returns
  • Photo search to find an item from a picture

The season

Load-out, delivery and return the crew can run from a phone

A pull sheet on the app tells the crew what to pick, pack and load, and what is still out on Friday. Signatures, condition photos and site notes come back attached to the job, not in a WhatsApp thread.

  • Pull sheets with picked, packed and loaded counts
  • Delivery and collection routes per van
  • Dispatch and return inspections with photos
  • Delivery challan and gate pass for venues

FAQ

Event rental software questions

What event and marquee hire operators ask before a demo.

Something else? or email sales@rentablez.com.

Can Rentablez quote a marquee or A/V package as one line?

Yes. Build the package once as a kit and quote it as a single line at a package price. Rentablez still reserves, picks and returns every component separately, so availability is accurate and the return note shows exactly what is missing.

How does it handle a peak Saturday when several jobs overlap?

Availability is calculated per day across confirmed orders and pending quotes. If the two together exceed what you own, the order screen shows the shortage and which jobs are competing for the stock, so you can sub-hire or move a job before the week of the event.

Does the warehouse crew get a pull sheet?

Yes. Each job has a pick list on the iOS and Android app showing what to pick, pack and load, with counts as the crew works through it. Dispatch and return inspections capture photos and defects against the same job.

Can I charge for cleaning, damage or late returns?

Yes. Additional charges are raised against the order — cleaning, damage, late return, replacement — and appear on the invoice and the customer statement. A defect logged during a return inspection can be escalated straight to a maintenance job.

What about sub-hiring stock in when I am overbooked?

The sub-rental module brings supplier stock into your own order as materialised units for the dates you need it, so the pull sheet, the availability count and the invoice all reflect the real job.

Can clients book online?

The web store is a public catalogue on your own subdomain where clients browse, check real availability for their dates and book, paying a deposit at the same time. Those bookings land in the same system as phone and walk-in enquiries.

Does Rentablez handle deposits and part payments?

Security deposits are tracked separately from hire charges and released or forfeited on return. Part payments are recorded against the invoice, and online payments run through Stripe, Razorpay or PhonePe.
