Tech & electronics rental
Rental software for IT and electronics fleets
Rentablez is rental management software for technology rental businesses. Track every laptop, monitor and AV unit by asset tag and serial, run a two-hundred-device rollout without a spreadsheet, bill long leases on schedule, and post depreciation the month it happens.
- Asset tag + serial per unit
- Corporate lease billing
- EMI & depreciation
- Data-wipe return checks

Rollouts
Scan a device through imaging, dispatch and handover
A wave of two hundred machines moves through the same states as one. Scan at each step and the console shows what is imaged, what has shipped and what is still on the bench — with the person who handled it and when.
- Scan through imaging, dispatch and handover
- Progress per wave, not per spreadsheet row
- Every scan timestamped against a person
- Bulk asset-tag label printing

Allocation
One pool, two rollouts, found before you commit
A signed contract and a pending proposal both want the same hundred machines in October. The order screen shows the shortfall per day so you can stagger the waves, sub-hire, or tell sales before the contract is signed.
- Confirmed and pending counted separately
- Shortfalls shown per day, per spec
- Units in imaging or service excluded
- Sub-hire to cover a gap

Lease billing
A 36-month contract that invoices itself
Quote the fleet once with the term and rate per device class. The lease then bills on schedule with tax applied, prorates when machines are added or returned mid-term, and tells you what comes off lease next quarter.
- Recurring invoices per contract
- Proration for mid-term adds and returns
- GST, VAT or a custom tax profile
- Buy-back or lease-to-own at end of term
Who runs on it
Corporate IT, event AV and everything in a flight case
The same asset console handles a three-year laptop lease and a three-day conference hire.
Corporate IT leasing
Laptops, monitors and docks on 12, 24 and 36-month terms with asset tags, depreciation and buy-back.
Event & conference AV
Projectors, screens, audio and staging quoted as kits and prepped from a scan for short hires.
Device & gadget rental
Phones, tablets, consoles and wearables with deposits, KYC and short-term pricing.
Workstation & lab hire
High-spec machines and test equipment with warranty, AMC and calibration records.
What IT rental businesses tell us
Six things that go wrong at fleet scale
-
Two hundred laptops, one spreadsheet of tags
Asset tag, serial, spec, who has it, which lease it belongs to — in a sheet that three people edit. Every device is a serialised record with its own tag, holder, warranty and lease, and the sheet stops being the source of truth.
-
Leases that end on two hundred different dates
Devices join a rollout in waves, so end dates drift apart. Recurring lease billing runs per contract with proration for mid-term swaps and early returns, and flags what is coming off lease in the next quarter.
-
Devices that come back without a wipe
A returning laptop is a data risk until somebody signs it off. Return inspections carry your own checklist — wipe, asset-tag check, cosmetic grade — and the unit stays blocked from redeployment until the checklist passes.
-
Depreciation the auditor will ask about
IT depreciates fast and finance needs it monthly, not once a year. Depreciation posts per unit on straight-line or written-down-value, with India Schedule II defaults and gain or loss recorded on disposal.
-
Warranty and AMC expiring quietly
A failed dock is your cost once the warranty lapses unnoticed. Warranty and AMC dates sit on the unit with the purchase invoice, and the warranties view shows what expires next month.
-
Employee addresses, not one loading bay
Half a rollout ships to homes and co-working desks. Delivery and collection are planned per device with the address on the order, and the courier or field engineer confirms handover on the app.
The fleet
Asset tags, serials and specs that finance and IT both trust
Every laptop, monitor, dock and AV unit is serialised with its own asset tag, purchase invoice, warranty and AMC dates. Specs such as RAM, storage and screen size are variants, so a request for “16 GB, 512 GB” resolves to the right pool.
- Asset tag and serial per unit
- RAM, storage and size as variants
- Purchase invoice, warranty and AMC on the record
- Barcode and QR labels printed in bulk
The rollout
Image it, tag it, ship it — and know where all two hundred went
A rollout is one order with many devices, each with its own destination. Field engineers scan units through imaging, dispatch and handover on the app, and the console shows how far through the wave you are.
- Scan through imaging, dispatch and handover
- Delivery to offices, homes and co-working desks
- Handover signature captured on site
- Condition photos against the asset tag

The finance
Lease billing, depreciation and what the device actually earned
Long leases invoice themselves per contract with GST or VAT applied. Asset financing records the lender, EMI and tenure behind each purchase, and depreciation posts monthly — so you can see the device against what it cost you.
- Recurring lease invoices with proration
- Asset financing: lender, EMI and tenure per unit
- Monthly depreciation, disposal gain or loss
- Xero and Zoho Books, or Excel exports

The fleet register
Filter to the exact spec a customer asked for
A request for “16 GB, 512 GB, under two years old, in Bengaluru” should be one filter, not a phone call to the warehouse. Variants and custom fields make spec, age, warranty and location searchable.
- RAM, storage and screen size as variants
- Custom fields for asset tag, lender and PO
- Filter by warranty, age or branch
- Utilisation and revenue per device class
FAQ
IT and electronics rental questions
What technology rental businesses ask before a demo.
Something else? or email sales@rentablez.com.
Can Rentablez track devices by asset tag as well as serial?
Yes. Each unit carries your own asset tag alongside the manufacturer serial, and both are searchable. Labels with barcode or QR are generated and printed in bulk, so a new batch can be tagged and scanned into stock quickly.
How are corporate leases billed?
A lease invoices itself on the anchor date you choose for the length of the term. Mid-term swaps, additions and early returns are prorated automatically, and credit notes are raised where required. Devices added later run on their own schedule within the same customer.
Does Rentablez handle depreciation?
Yes. Depreciation posts monthly per unit on straight-line or written-down-value methods, with India Companies Act Schedule II defaults available. Disposal records the gain or loss when a device is sold, and exports are available for your accountant.
Can I track devices bought on EMI or a lender facility?
Yes. Asset financing records the lender, financed amount, monthly EMI, tenure and an optional interest rate per unit, with a ledger of EMI payments. Set against utilisation and rental revenue, it shows which devices are covering their cost.
How do you handle data wipe and return checks?
Return inspections use your own checklist — data wipe, asset-tag verification, accessories, cosmetic grade — completed on the mobile app with photos. A failed check raises a defect and keeps the unit blocked from redeployment until the job is closed.
Can we ship to individual employees rather than one office?
Yes. Each device on a rollout can carry its own delivery address, so a wave can go to offices, homes and co-working desks at once. Handover is confirmed with a signature on the app.
Do you support buy-back or lease-to-own at the end of term?
Yes. A lease can be converted to a sale, moving the device out of rental stock and recording the disposal with its gain or loss against the depreciated book value.
